The problem

Where they were before we started.

This venue had already been through the usual cycle: money spent on marketing, a burst of enquiries, nothing that turned into someone standing in the building.

That experience produces a specific and entirely rational belief — that ads generate browsers, and browsers waste your afternoons. It is the belief we have to disprove before anything else can happen.

The actual failure was not the ads. Leads were arriving and then sitting. By the time anyone followed up, the couple had already toured somewhere else.

What we did

The specific moves, not the category.

“Optimised the funnel” is not a case study. These are the actual decisions.

  1. 01

We fixed the gap between enquiry and phone call

Nothing about the creative was the bottleneck. The bottleneck was the hours between a form submission and a human being calling it. We closed that gap first, before touching the ad account, because it is the cheapest fix in the business and it changes the value of every lead that follows.

  2. 02

    We qualified hard, on purpose

The lead form asks for date, guest count and budget. Then we call and ask again, properly. A venue owner's scarcest asset is the hour it takes to walk someone round the building — the job of qualification is to protect that hour, not to maximise the tour count.

  3. 03

    We kept spend deliberately small

$200 a week is not a constraint we worked around, it is the point. A system that only works at $5,000 a month is not a system, it is a subsidy. Getting the mechanics right first means the budget becomes a dial rather than a bet.

The result

What actually changed.

  • 10+ tours booked every week, consistently.
  • Roughly $200 a week in media — about $20 of ad spend per booked tour.
  • Tour volume now scales with budget instead of with luck.
